The description: This position reports to the Assistant General Secretary for Finance and Operations (AGS for F&O) and is supported by the Office Coordinator, who is responsible for facilities-related duties such as front desk management (in-person, calls and e- emails), the supply of office equipment. inventory, coordination of offices and meeting rooms, and management of office and facility invoices.

The Facilities Manager will be responsible for all aspects of the stewardship, maintenance and construction operations of our 9,500 square foot green office building at 245 2nd Street, NE the adjacent 3,600 square foot residential property , 205 C Street, NE, in which the apartments and Quaker Welcome Center is located, an additional 3,600 square feet of office space at 518 C Street NE and 515 E. Capitol St SE, where William Penn House operations (dba Friends Place on Capitol Hill) are conducted.

The Facilities Manager provides day-to-day operational maintenance of buildings, assists during major events such as the Annual Meeting and Spring Lobby Weekend, supports the physical health and safety of employees and guests and handles AGS requests for F&O as required. On an ongoing basis, the Facilities Manager assesses and maintains future conditions and needs for our building spaces to operate with appropriate efficiency.

Oversee all aspects of daily facility operations for 245 2nd St NE, 205 C St NE and 518 C St NE as clean, safe, well-maintained and environmentally friendly workspaces for our employees, volunteers, members of committees, tenants and our visitors. This includes developing and managing operating budgets and maintaining the vendor and service management system for maintenance, security, inspections and other facility-related needs.

Ensure all buildings and spaces are clean and secure, building access (key fobs and key codes) are up to date and available for all spaces are available as needed.

Perform and oversee building maintenance and repairs and, if necessary, develop a schedule for major repairs/renovations

Actively manage and work with suppliers to achieve the best possible results and keep costs reasonable.

Coordinate deep cleaning for 245 2nd St NE, 205 C St NE and 518 C St NE during each summer and staff reorganization as necessary to accommodate all program assistants. The Friends Place cleaning contract is handled separately by the Friends Place manager.

Continuously identify and implement changes to our energy systems and utilities to reduce our carbon footprint and reduce related expenses for the organization.

Analyze and adjust current vendor arrangements as needed, e.g. heating and air conditioning maintenance, elevator service, waste disposal, landscaping, cleaning services, security and the supply of furniture. Recommend and implement best practices for sustainable building management.

Monitor and maintain current HVAC and geothermal systems and other energy uses, including the green roof at 205C St, to maximize the effectiveness and efficiency of systems and equipment.

Monitor solar collection panels and rooftop gardens to ensure functionality to achieve the maximum positive environmental impact.

Repair and/or replace old, worn or broken appliances in all areas of all buildings.

Track and interpret the benefits of sustainable building practices for our legislative and educational programs.

Oversee construction operations at 205 C Street NE, including each floor with apartments and the Quaker Welcome Center; maintain and maximize the environmental features that have been installed and ensure that the functions of the building installation are sufficiently supported.

Our space at 518 C Street NE is part of a separately managed building, therefore the Facilities Manager:

Collaborate with the owner’s building maintenance and operations team.

Solve all internal furniture, environment and personnel needs

Facilities operations at 515 E. Capitol St SE are managed by the Facilities Manager and Friends Place Manager through routine collaboration and communications. Typically, the Friends Place manager or designate handles short-term furniture, fixtures, and equipment needs. For immediate or emergency repairs to address mechanical, equipment, or plumbing (MEP) issues, the Friends Place manager notifies the facility manager and two agree on a plan of action. Additionally, long-term structural repairs are managed by the Facilities Manager. All vendors related to structure and MEP are managed by the Facilities Manager.

Daily cleaning and building security (key fobs and key codes) are handled by the Friends Place Manager or his designated staff; The facilities manager oversees the security system contract, system maintenance, and changes to physical equipment.

Maintain and maximize the environmental features installed at 515 E. Capitol St SE

Ensure that the use of the building and the functions of the facilities at 515 E. Capitol St SE are sufficiently supported.
